How do you guys keep track of gear?
Is there a program or app that remembers?
Or do you guys just have a word document?
Do you have a mule that holds like leveled gear? Like a Guy who has levels 1-4, then 5-6, 7-9, Ravenloft Gear, Sharn gear, then low Epic and then Legendary Gear?
Do you have a guy for melee builds and a guy for divine casters and then a guy for arcane?
Just curious how you guys do it.
There has to be an easier way than what I am doing.

I try to use a level-range based system but it constantly gets out of whack.
I'm sure there are a whole lot of different answers to this question though and I will be interested to see if anyone has come up with a truly good solution to the problem.
Essentially what we need is something automated where we don't have to keep updating it.
Having said that, what we actually need is one big shared bank with thousands of slots.

I have mules for specific item slots (sometimes two or three item types).
E.g: I have a mule for necklaces and rings.
I plan ahead a next TR's gear and put it in shared bank, and just put the gear back in shared bank when I'm done with it, so the next time I do gear planning, the mules take the items in shared back, and put the new stuff in its place.

With the bank overhaul a few updates back you can only see your inventory and not the bank anymore. It was awesome as you could see all but the TR cache but it is still great for the inventory.

I do mine with level ranges, that way I dont have to search through a dozen mules to re-gear when I hit a good gear level like 10 etc. I'm not quite finished yet, but my goal is to have a mule for every 3 heroic levels, 1-3, 5-7, 8-11, 12-15, 16+. That does a decent enough job of spreading out the loot. Additionally, I have another mule for 20-28 gear, and another for each expansion to hold all the legendaries from that expansion. I always know exactly where all of my loot is. Additionally, I make sure to name the mules in alphabetical order, and give them a surname to help remind me of the level ranges. The names are all pretty much identical, with duplicates of certain letters to guarantee the order. With the surnames, I wanted to be able to expand, so I didnt use "onetothree" or anything like that, but instead used stuff like the "young", "eager", "hardened", "seasoned", "wise", "ancient", "epic" etc.
I even went a bit extra and used similar character customization visuals, and made it look like the heroic mules are "aging" as they get higher level. Easy to do on a dwarf. Started paying attention to low level random gen armor loot, to get good looking armors to fit their age. It made doing the favor runs on them a bit more exciting. For the legendary expansion versions, I did my best to make them look like they would be in home in wherever that expansion takes place, like a vampire looking dwarf for my RL gear etc.

I pretty much do levels.
I have a sheet I printed off.
Char bank tabs:
her stuff (bound stuff)
Melee weapons
Ranged Weapons
Septers/orbs
Rings
Necklaces
Trinkets
Belts
Inventory tabs
1 Boots/gloves
2 Cloaks/bracers
3 Armor/shields
4 helms
5 Goggles
Have 1 mule that has stuff like mirrors, hair dye, stuff like that, and another with all arti gear.
My main keeps stuff in her personal bank like potions, omnispell dust and stones, dragonshards.
It's working for me for right now, I also take the things from my mule to the shared bank before lvl 5, 10 and so on, so it's ready for me.

I use the shared bank and character banks on mains that I actually play.
I have a couple of characters that store XP stones.
I used to have a much more confusing array of character mules but I nuked that system by moving to a new server in the process transferring all the gear I cared about. I have not re-established the character mule system on my new server except for the XP stones.
I've come to the conclusion that just playing the game as a game and not an endless hamster wheel makes me happier with the game.
And, SSG plz fix the shared, character and TR banks such that they actually keep all the item levels. It's really annoying to do a search in a level range and have very few items show up because the items in the range are mostly not displaying and apparently not calculating the item level in question. This is a long-standing problem unrelated to the storage changes. My guess, and it's just a guess is that the code for storing items in the shared bank originally referenced a fixed array when total capacity was maybe 100-ish and that when the array was expanded for whatever reason the item level field was not included in the expansion. If true this would suggest that the arrays were not expanded as an array but were instead additively expanded with new arrays appended to the existing ones.
Plz fix.
Specified toon storage:
I have one toon purely for all cosmetics and cosmetic style of stuff on them.
I have another toon with items that are not easy to farm to regain for testing. Raid items, etc. Ultra rare drops, etc.
All other items are junked or fed to keep storage as lean as possible these days on anyone other than my direct main. This makes it easier for me to dig stuff up as needed, else the amount of inventory you need to go through would be insane.

Its truly sad we have to do this .. but here are some screenshots .. Better I tear into SSG again about bank space.. here is what I did for the time being.. there are 13 mules showing, actualy another called COSMETS for cosmetic stuff.
I have one toon Kigon Kick who holds all the Sharn, Ravenloft named set items.. heroic and legendary. Also Age of Rage or MAdness whatever its called the level 14 quests in Jorassco, and legendary.. Feywild came out and I had no room, so made a toon for Feywild loots heroic and legendary just named set items.
I did the same for Isle of Dread and any level 30+ gear.
The rest of the mules I keep like Heroics One to Five , Six to Ten .. and so on. This way I know where all my non named set items are. And then on that toon the first tab would be like for the lowest gear range, and the last tab or the bank tabs are the higher.. so I can keep them in that kind of order on each toon.
Gotta have the misc toons for the XP stones you accumulate, and all the pots, elixirs, scrolls of deadly weapons, dimesntion door, Dust.. Siberys..
What I would really like to see SSG do it get rid of the TR cache.. just get rid of it. Also get rid of all BTC bound to character items and make those bound to account. Does it really matter, in a game this old that if you get something on one of your guys, you cant give it to one of you alts? As if giving your first two handeder melee an SOS is going to be a game changer? No reason not to be able to share your items with your other toons. That solves some small problems.
If they were to get rid of the TR cache then the Shared banking system would have to be made a lot bigger by default. Like say there are a total of 1000 pieces of gear in the game, and make the default that number.. and then allow people to purchase more space. Having one big shared bank space would eliminate people logging in and out in and out in and out... game hanging up trying to log out..
Make more things stackable like XP stones. I could go on but really no point , its not like they are talking about addressing it anyway..
But this mule naming can help organize your stuff.

Ya that bug happens if you say take your mouse and grab an item from your Shared bank, but instead of putting it in your inventory.. you just let go of the mouse button, and that item just drops back into the shared bank.. What happens is the Minimum level requirement disappears on the item. So its treated like a level 0 item and will be at the very beginning of the list if you are looking 1 to 30 search.

Rolling up alts at various levels and equipping them with best at level setups and loading up their inventory works not too badly, I can then pillage that toon for the toon I am doing TR lives on, and minimize the gear that the TR toon carries to streamline he rinse/repeat cycle of TR lives.
I am running my main account with maxxed out character slots at 50, an alt account with 20 character slots, and some more throwaway accounts for generic storage, and 4 alt guildships..
I currently only play 3.5 toons.. 3 TR multi-competionists, and the 4th is a TR work in progress, rest are have been demoted to packmule toons.
to start I roll up hardcore toons with the same name as my main (or toon I plan to TR many times) utilizing free server transfer so they then get myname-1, -2, -3 as the main already exists.
These toons hold levelling gear and sets that I use.. for instance.. my Main 'JOTMON' has JOTMON-1 that holds gear I would use from 1-6, JOTMON-2 has 7-12, etc.....
I do a similar setup for my levelling alts with different build focus.. caster, tank, rogue, monk, healer...
for other goodies I haven't worked in yet or don't have a plan for I have mule toons for the best of packs.. zjotmuleSharn, zjotmuleIOD, zjotmuleevents, xjotmuleStore, etc...
For the dedicated item storage I named a bunch of alt toons z'myname'mule'items'... this keeps the zmules at the bottom of my list.. zjotmulepots, zjotmuletomes, zjotmulescroll, zjotmulevorp, etc....
It is still a tedious manual process players subject themselves to as SSG chooses not to develop a large centralized storage medium to consolidate all of our loot instead of resorting to Mules, bags, alt accounts, alt guild ships, mailboxes, overpriced auctions to overflow mail.
I would like to see an option where I can burn DDO store purchased alt accounts , alt bank space, alt backpack space to feed a real centralized storage location based on the Auction house template with a similar interface... unfortunately SSG has been roll'in 20's with the evade player requests like a good politician where they talk around the topic without actually answer the question or deliver any real results.

The whole storage system is a mess of piecemeal additions of one off inadequate storage. bank space, guild chests, bags, alt mules, alt accounts, mail, alt guildships, etc...
Players are scattering and squirreling away items all over the place which is inefficient time consuming practice.
Add Storage Vault with AH style interface:
I figured 20,000+add-on options... based on 50 toons x250 items/toon(250*50=12,500) and stuff in bags ( colossal holds 1,000x stacks x however many bags), crafting storage box 2,045 stacks of whatever).

Some of us have this really simple system - we put our cool keepsies gear on a mule (or 5) and then completely forget we have that cool keepsies gear, for years.
...and years.
Best part is when some of that cool keepsies gear gets changed to BtC while sitting on that forgotten mule. That always makes one's day.

For me the bug does not require a drag and drop. I will page through my bank and by page 3 a lot of the items have no minimum level displayed. It's been like this for years. Just a little bit more frustrating now because we should be able to filter by level and that feature just does not work when 2/3's of the items in your bank have no minimum level listed.

This is pretty close to how I do it...I have a mule for Epic/Leg gear, a mule for Heroic gear, a mule for XP stones, and a mule for cosmetics/consumables/misc (tomes, Sib shards, etc.)
But the most important thing I do is prune my mules regularly. If one is getting too full, I go through, look at every item and ask myself "Will I really ever use this? Not maybe use or could use, but will use? Do I really need this? If I ever do need it, how hard will it be to go farm another? Has this item been made obsolete by something newer yet?"

If only you could grow item trees out of burried items.
I used to have a system but sometimes you just need room, so I don't anymore.
Every time I need items because I change class I log through all 10 mules I currently have to find that one items and so on for the next.
It's really great in terms of resource usage, I need 5 minutes to close the game client when I'm done, staring at a black screen, the fun is unlimited, only watching paint dry beats it, by a small amount.

I redid my system a few weeks ago, working great so far. Previously it grew organically and was starting to get a bit messy, not to mention a lot of non-gear items like cosmetics, tomes, and bags didn't have a specific home and were spread out.
Cosmetics, Consumables, Bags, Sentient Gems
XP Gems, XP/Slayer Pots, Loot Pots (Discovery/Treasure Hunt)
1-5 All
6-9 All
10-14 All
15-19 All
20-27 All
28-29 No Weapons/Shields/RuneArms
28-29 Weapons/Shields/RuneArms
30-32 All
Yeah, one bank with the full 15 tabs (300 slots) can't hold all my 28-29 gear.
So 10 banks and I just go the each one as I need. Shared bank holds common use items and recently used items. Just sort by level and put back on banks every once in awhile to clear space back up.
I would love to be able to keep track of what items I have and don't have (and what I have with mythic and reaper bonuses), but with thousands of items it would take me days/weeks to spreadsheet it all out. As is I just kinda guess to the best of my knowledge and if I run into something I need and don't have I go and farm it. It's not uncommon to find dupes banked and I just move those out for sentient XP consumption as I find them.

This is why I am slowly building gear lists for certain level ranges to make them as generic and effective as possible. Once this is done, and I gather all the stuff, I won't ever need to worry about other items again, it will all be sentient food because my gear is set and will take up only 3 total mules. Each mule is a character I leveled and favored up on Hardcore league for the "first time on server" bonuses, then transfer over with 5 pages of inventory and 60 slots of bank ready to go.
Mule 1 is all low level gear-
Inventory page 1 - a bunch of rando level 1 & 2 items, because I always XP gem to 2, 2 to 3 is quick and easy, and not worth building a gearset for.
Page 2 - A set of level 3 gear (mostly Saltmarsh, but some CC crafting and a couple other choice drops) that works for all builds. Yes, even that build.
Page 3 - A set of level 5-8 gear to use at level 8 (Feywild, TOEE, and Dread). One set for all caster builds, one set for all melee builds. 3 items in common between the two, can fit both sets on one tab.
Page 4 - A set of 10-11 gear to use at 11 for Casters.
Page 5 - A set of 10-11 gear to use at 11 for Melee.
All of the gearsets above are weaponless, so just slot in whatever element caster stat stick or eye poker melee weapon as appropriate.
Mule 2 is all midlevel -
One inventory page with a complete set of the Sharn 3 piece sets with armor/docent variants. Then a page of assorted supplementary items. Unfortunately due to the huge spread of slots taken up by Sharn stuff, a generic "all caster" set is impossible, but "all melee" is, because Part of the Family is the defacto only set to use in that level range.
Two pages of level 20/21 items, Saltmarsh, Borderlands, Epic Sands, whatever. Swap to whatever works best at 21.
Bank space is again set aside for weapons.
Mule 3 is all epic -
All 28-30 items from everywhere to build sets out of. This is my least valuable mule, because I barely spend any time at cap before reincarnating again, so this mule is mostly collecting stuff for an item switchover once the level cap goes up and I need to get from 30 -> 40 (I figure being level 39 with level 21 gear will be a bad idea).
Anything that doesn't fit those categories? Gone. Sentient food. Heck, even every drop from IoD that isn't a dino bone weapon blank are pure sentient food. I'll never wear them.
SSG has refused to let us manage these giant piles of gear, so I am compelled to take extreme steps to do it myself. I really dislike mules. If I could, I would only have 1 character on my account. I used to have more mules than the above, but I just saw gear piling up in the "I should keep this because maybe I'll use it someday" category, and then 5 years goes by and I never used it...so it became time to get ruthless and start purging. Also, it's been fun to design these generic gearsets. I got to set up several spreadsheets to play around with. The level 8 caster gearset is a thing of art.

I think I started taking advice from everyone here.
I have deleted "rare loot" that I farmed in past, but no longer is that good.
I have started working on sets that carry me to 20.
And I use different mules for level ranges:
Lowbie 1-6
Mid-low 6-9
Ravenloft until Sharn 10-13
Sharn and Age of Rage 14-20
Lowbie Epic 21 until Legendary
Legendary stuff (Ravenloft and Sharn...haven't been to 30 yet since I got back.)
And one random mule with Exp stones and 1 random mule with my Artificer gear (like Rune Arms, Repeaters, Dwarven Axes, Bastard Swords and Trapper gear and rare arty scrolls)

I simply created mules for eack pack , Salt Mule, Fey Mule, Sharn Mule, RL Mule so as I go threw the lvling I know where to look, I also made a heroic mule for random and epic mule for random gear

stacking xp stones would be super helpful.
Character renames need to be like 150 points, not 1000. I have 11 mules, no way I am spending 11,000 points to sort them.
My quick-and-dirty solution was to get the cosmetic Lizardfolks Cosmetic Armor kit from Saltmarsh, which kind of looks like a donkey if you quint, and put that on all my mules. I want SSG to release a mule cosmetic.

Character renames need to be like 150 points, not 1000.
I agree and would say it's one of many things that are currently way overpriced.
Hearts of wood, bank space... etc.
What I feel the powers that be who decide prices fail to grasp is that a lot of times when the game becomes too annoying and inconvenient I simply stop playing or play way less and therefore spend no money on the game. I think the idea that people pay to bypass inconvenience is a flawed approach and ultimately results in lower revenue and fewer players or both.
Inventory as it currently stands is ridiculous. Over the years more and more items have been added to the game almost everything is bound now. Default storage should be like 100 character bank slots and 1000 shared bank. For free. But no, it appears the goal is and has been to monetize every single aspect of the game, including fundamentals such as storage.
To me it makes no sense.
