The recent thread on "hoarding" has made me curious as to how other players manage their hoards.
I'm currently using a hybrid system, storing gear by level on some mules and by build on others.
For example, I have a mule that stores most of my arcane caster gear, a mule for melee gear, etc....
And, I also have mules for gear by level range, for example levels 1-4, levels 5-9, etc....
I also have mules for crafting and things like scrolls that aren't purchasable.
How do you manage your hoard?

I have a mule for stones, a mule for all consumables and miscellany, and a mule for equippable gear
I'm pretty fastidious about trashing any item I don't see myself realistically using, though. Every item needs to have a place, not merely "just in case" - and not merely "it could be useful for an XXX" either, it needs to have a place in a coherent gear set. A lot of items *would* be useful for a certain build, but there's still something else you'd use in that slot instead...set item, artifact, etc.

My hoard is stored on mules by level ranges: 0, 1-5, 6-10, etc.

Currently I have 9 storage characters.
Level 1-7 loot
level 8-14 loot
level 15-20 loot
level 21-28 loot
level 29 loot (gosh darn there is a lot here, a retired HC character S3)
level 30+ loot (just beginning to fill... also a retired HC character S4)
Crafting blanks, new & retro-fitted
Cosmetics (don't judge me)
Retired Haggle Bard that holds all DD pots and prizes, wands, feat exchange shards, unused tomes, miscellany
I also have a level 12 event running character, that's all she does and she holds event ingredients and anything associated with said events

1 mule for named items
1 crafter with extra purchased character storage for augmented items
and store stuff on alts when not running them or waiting for reincarnation.
and shared bank purchased storage.
And TR storage

Same named toon transfer from hardcore gets a -1,-2, etc...
I use these for TR mules for main toons, this way main toons that are on the TR hamster wheel don't need to keep holding end level gear through every TR life.
They are safely held on a specific mule for the TR toon doing TR lives.

straight up mules i have setup starting with 'z'xxxxx to push them to the end of the list and not get cluttered in with playing toons, these mules hold gear not for a specific toon.

No organization...just stuff randomly spread across 8 or so mules. When the time comes I just hope I can find stuff, or I spend 30 mins looking. I have always wanted to get stuff organized by level but taking an afternoon to do it isn't something I can ever motivate myself to do.
My mules are organized by level. I have a level 1-9 mule, a 10-19 mule, a 20-27 mule and a legendary gear mule.

Currently I have these storage characters.
Level 1-4 loot
level 5-9 loot
level 10-14 loot
level 15-19 loot
level 20-24 loot
level 25-28 loot
level 29-30 loot
level 31-32 loot
they were all iconics, i went and got 150 coin lord and 150 bank favour on all of them.
Some are full and have started getting rid of things i dont need.
a daily rolls mule
2 old random mules, tomes. hair dyes, potions, old crystal cove stuff i probably should chuck
1 potion mule but i rarely if ever use the long potions of melee power 12 etc, just ****
yes i have too much stuff but at least its fairly easy to find.
Dungeon helper helps me search where any item is on any toon, if i ever lose something

I mostly store by content so that I have an easier time finding sets and can look at all my options as I progress. I'm on the TR hamster wheel, though have taken a break from that to grind inventory slots/pack slots on my mules, as U56 made my main (spellsinger) unfun to play. Right now, it's a little unorganized; it looks something like:
1) saltmarsh lvl 3 gear, trapping gear, borderlands (21), slavelords blanks (I don't have much of any of this stuff, so he's kind of 'random mule')
2) Legendary gear - I haven't played a ton at cap so I'm able to hold sharn, fey, ravenloft gear here. I think a few more lives and I'll have to start dividing these.
3) Collectible/consumables/cosmetics
4) crafting gear (double slot items mostly), some heroic ravenloft, good random loot (I keep very little random loot). Ravenloft gear may hit the trash compactor - mostly I feel they're barely better than the feywild sets.
5) red fens (mostly I junk these, but am trying to collect them more now that they're better), heroic sharn - I have quite a lot of sharn so more elsewhere
6) named weapons
7) heroic feywild, heroic sharn
I've been grinding bank/pack favor like mad on my alts the past few weeks and need to reorganize some areas (like getting all sharn on 1 toon). I've organized with the tabs twice and had all that work undone twice. I also had some of my gear movearound attempts rolled back. Super annoying that the literal worst part of this game I get to spend more time doing because of this terrible, terrible update 56.

Mainly by level. 1-5 7-12 13-17 18-27 28-32. Some levels have 2 mules. One for weapons and one for gear.
Then I have a mule for rare pots and scrolls and another for cosmetics. Finally, one for xp balls and tomes.

About the same exact setup you have, though I do have a couple mules dedicated to heroic sets and a couple for epic sets. It's what works for me.

I have a mule for accumulated DD potions(someday I will have enough for them to be useful). One for cosmetics. A couple for gear at various levels. All of my failed alts pull duty as DD stone mules. The lions share of my lvl 29 gear lives in the shared bank so I can easily try out new gear set ups/gear alts when they hit 29(I don't TR most of them. They live at 30). I happen to enjoy the "gear tetris" aspects of the game, so I spend a lot of time on this.

On the main account, I have a general pool of items for storage (helm, necklaces, etc), and then there are dedicated mules for the active characters. Each one has x2 dedicated mules. Makes life so much easier.
Then there are mules for guild event prizes, specific expansion mules (Sharn, Ravenloft, etc); BTA potions..
Then cannith blank storage, and this is where it now becomes fun...
Overall all 48 slots on main account used.. then there are another 60 across other accounts..
and we now get onto muleships.. I have around 17 at the moment dedicated for storage, ranging from GS1 to GS2.
I'm a hoarder, and I don't have an issue.. i just need to do more muleships..
(and @DDO Sales team - character slots haven't been on sale since a year last July... HINT !! )

This is nice for you but not helpful. Most of us are dealing with BtA items.
To get around BtA you really don't need allot of gear per se if you have high crafting levels.
For example, I have base sets for CHA/DEX/INT/WIS builds. I like to put main stat on double slot helms. You can store that all on 1 mule.
You only need 1 set of belts for the CON. I do levels 16, 20, 26, 28 or 29.
Most named gear is not much better than what I can craft and slot with augments. I do disjunkt and remake items from time to time when another toon has an item on lock down for a whiles.
Better to have great BtA Sentient weapons, than named BTA/BTC gear IMO.
If you don't need it, feed it :D

but to answer your question.. moving non-bound items off account characters frees up space to fill with BTA stuff.
Without true storage...
Our options are limited to TR'ing mule toons to utilize TR cache, Alt accounts and Alt guildships without getting into mailing items and sketchy methods of auctioning items at exorbitant prices that no sane player would spend, then letting auction expired items fill up the mail queue of alt mules.

The hoard can take form in many different shapes and sizes. Unfortunately you wasn't specific, in that you wanted to know how people stored BTA gear.

You'd be surprised how many players don't go to cap, or even avoid it completely. I've met so many over the years who just completely shy from it.

It depends. Allot of past life feats reduces the need for named gear.
Also game skill is a factor. I've run Epic Hard Lord of Blades naked in a group. Posted great stats and kept the group alive scroll healing and rezing (because I've run it oodles of times until my eyes bled : )
Same with CiTW. My L20 Sun Elf Fiend Warlock only has 3 epic past lives, but carried a PUG CiTW EE raid at level 20. I'm also Keezer the Firebreather on all the servers. Aside from Flonking, I'm going to have the toon hold my favorite cleric items. I love playing divine casters!
EDIT ~ I'm really geeked on Crystal Cove gear ATM. I like to put Master's Gifts in the Spyglasses. Plus I like the rings when I sorta use DEX as a dump stat. I already made the new augments and got the weapons to glamour as well.

I try not to do this, but sometimes you need to take a loot **** so bad, I give in and spend a heart to TR. Dang I really hate clearing the TR Cache. I've got a few toons sitting in front of Jeets that haven't made it to Korthos proper yet : ) )

I have used all 50 character slots on my account.
I also have 50 slots, and almost all of them occupied. The few open slots I have are to transfer toons from Hardcore each season for the first-time bonuses, gold rolls, or really interesting RNG/named loot I happen to pull while there. Then I delete those HCL toons.
I also have my mules broken down by content, and then by heroic or epic gear, i.e., GabRLHeroic and GabRLEpic for Ravenloft heroic and epic gear, respectively. I also have a couple of cosmetics mules; mules for Cannith-crafted sorted every 5 levels; challenges and various events gear mules; a couple of older gear mules that have stuff that is fun to use on some builds (like the vorpal/disruptor/banisher/smiter types); one that holds nothing but pots and other consumables; one mule with xbows and one that has nothing but rune arms. My shared bank is only items that are useful universally each life, or as a temporary holding while I transfer gear on/off my main to the mules. My TR cache and character bank only have the BtC items I can't send to a mule. As I continue to TR, this has made it exceptionally easy to re-gear every 5 levels, regardless of the class I am playing at the time.
And with the limited time I have to play, I really only run my main. I do still have a few alts, for sentimental reasons (back when playing underpowered alts in DDO was less of a liability than it is today). I do occasionally dust them off, but I just don't have enough time (or desire, really) to take 6 or 7 toons through all (or even just the most relevant) PLs with 20+ reaper points, plus some racials. Sure, it can be done by some, but I'm not in that group and that's fine.

Gear only has to be good enough (i.e. cleric or wisdom FvS with the hat below). For the sake of even numbers I will post a shot of my crafted belt to go with the hat.

mule 1 bank: guild/xp/crafting/slayer boosters, healing potions, shrines, rez cakes, bags with many crafting mats, bells, anvil forges, remnants, treasure hunters elixirs, lasting pots,
mule 2: necklaces, rings
mule 2 bank: googles, trinkets, caster sticks
mule 3: cloaks, bracers
mule 3 bank: bows, reaper stuff, cosmetics
guild chest: hair dyes, unbound sp pots, collapsed portable holes
alt accounts:
mule 4: winter cookies
mule 5-8: augments
mule 9: unbound named items that I collect for absolute no reason
mule 10: blue syberis shards, +5 thieves tools, sands tokens, other unbound misc stuff
